Booking Procedures

1. Make sure to check if your requested DATE is AVAILABLE? Availability Calendar

2. Check Rental Rates

No date(s) are finalized & secured until the following terms have been met and the DEPOSIT HAS BEEN RECEIVED.

A. EMAIL REQUEST

1. Send your contact name and type of event you are hosting, requested rental date, phone number to sutherlandhallrentals@gmail.com

2. The hall manager will check the date and send you a response. Once the initial questions are answered, you will then receive a rental contract for your review and signature. 

3. Payment of Deposit to finalize booking  by e-transfer (preferred)  or cheque. Please note that your date is not secured until your non-refundable deposit is received.

B. ONLINE REQUEST

1. Visit the ONLINE REQUEST page to Submit Your Requested Date(s)

2. The hall manager will confirm the date(s) are available and will then email you the rental agreement. 

3. The hall manager will check over the application and send you a rental contract. 

4. Payment of non-refundable deposit to finalize booking by e-transfer (preferred) or cheque. Please include the date of your rental in the e-transfer memo. 

C. IN PERSON REQUEST

1. Contact the hall manager to set up a time to meet and submit the Rental Agreement and pay your deposit.

 
Rental Rates

A. Main Hall (Capacity 259 with row seating, 200 with tables set up, 149 if serving alcohol)

Weekend Rental Rates 2026

Main Hall:  Friday, Saturday, Sunday:

$900/Day, 2 day rental $1500, 3 day rental $1900

Weekday Rental Rates 2026

Main Hall: (Monday to Thursday ONLY)

Events/Dances/Etc. - $600 (contact manager for availability)

B. Upper Hall - Meeting Room (Capacity 50)

Meeting Room: (Mon-Thurs) - $200

Booking Deposit – 50% of Rental, non-refundable

Damage/Cleaning Deposit –  $300 cash damage/cleaning deposit when key is picked up. Deposit is returned if no damage and hall is left clean. For large events such as concerts or dances may require up to a $500 damage deposit.

Please include reservation date in e-transfer memo.

All cheques made payable to POW City Kinsmen.
